Responsibilities:
• Coordinate with local host organizations to ensure effective office hosting arrangements, including office provisions, procurement processes, and security.
• Support the Head of Unit by providing necessary documents, assistance with shared drives and communication platforms, and internal operating procedures, such as processing letters and notifications.
• Act as a critical interface between unit colleagues by keeping them informed about cross-cutting issues.
• Assist in coordinating program/project planning and preparation, monitoring the status of proposals, and ensuring timely completion and submission of project documents for approval.
• Aid in the preparation and analysis of program/project budget proposals, review submissions for completeness and justification, propose adjustments as necessary, and prepare reports on budget revisions, expenditures, and obligations.
• Assist in monitoring and evaluating programs/projects, updating and analyzing relevant data, conducting periodic status reviews, and initiating follow-up actions.
• Collaborate with program/project managers on performance reporting, ensuring adherence to reporting requirements, guidelines, and procedures, and verifying data accuracy and completeness.
• Serve as a focal point for coordinating, monitoring, and expediting program/project implementation activities, liaising with various organizational units, initiating requests, processing administrative actions, and resolving implementation-related issues.
• Maintain and update files (electronic and paper) and internal databases, prepare reports, statistical tables, and other materials to facilitate inspection and reviews.
• Draft correspondence and communications related to program/project administration, including work plans, budgets, revisions, and other relevant issues.
• Provide guidance and training to new/junior staff.
• Compile information for travel plans, including flight and DSA estimates.
• Perform a variety of administrative duties, such as meeting organization, reservations, procurement requests, and preparation/processing of administrative documents using Umoja.
• Assist with data collection, analysis, and preparation of data presentations and reports.
• Assist with visualizations and updating information materials such as web pages or brochures.
• May perform other duties as required.

Education:
• High school diploma or equivalent.

Job-Specific Qualification:
• Supplementary training and certification in administration, project management, finance, budgeting, accounting, or relevant fields is desirable.

Work Experience:
• Minimum of seven (7) years of experience in administrative services, human resources, finance, or related areas. The minimum required experience is reduced to five (5) years for candidates with a first-level university degree or higher.
• Experience in coordinating and monitoring program/project activities is desirable.
• Experience in the United Nations System or other comparable international organizations is desirable.
• Experience using Enterprise Resource Planning (ERP) systems, such as Umoja, is desirable.
• Experience in organizing and servicing meetings is desirable.
• One (1) year or more of experience in data analytics or related areas is desirable.

Languages:
• Fluency in English and French is required.
• Knowledge of another official UN language is desirable.
