  1. Scope of Work

The primary responsibilities of the Business and Operation Management Associate include:

  1. Supporting the implementation of administrative, financial, and operational plans for the exhibition.
  2. Assisting in business development and ensuring the sustainability of the exhibition.
  3. Supporting knowledge-building and sharing within the exhibition team.

Specific tasks include:

  • Ensuring the implementation of administrative, financial, and operational plans for the exhibition.
  • Providing input in the preparation of Standard Operating Procedures (SOPs) for the exhibition.
  • Ensuring compliance with UNDP rules, regulations, policies, and strategies for all operational programs and activities.
  • Coordinating with exhibition teams, visitors, and vendors to ensure smooth day-to-day operations.
  • Supporting the development and implementation of financial monitoring systems to track revenue, expenses, and overall financial transactions.
  • Analyzing financial data to identify areas for improvement and opportunities for increased profitability.
  • Maintaining proper control of documentation supporting the procurement process and maintaining a filing system for payment records and documents.
  • Assisting in monitoring, controlling, and implementing exhibition security, safety, and maintenance plans and services.
  • Assisting in the development and assessment of the exhibition’s business model to ensure standardized operations, financial sustainability, and growth.
  • Supporting the management of the exhibition as a business cost center.
  • Aligning promotional efforts with the exhibition’s business model.
  • Supporting branding initiatives that contribute to revenue-generating strategies and enhance the exhibition’s market positioning.
  • Monitoring industry trends and market demands to proactively adapt the business model.
  • Prioritizing innovative solutions to enhance revenue and visitor experiences.
  • Supporting training needs assessment and the implementation of staff development programs.
  • Fostering a positive and collaborative work culture within the exhibition team.
  • Ensuring staff is well-equipped to handle diverse responsibilities effectively.
  • Participating in trainings and orientations for operations/exhibition teams on administration.
  • Performing any other tasks assigned by the supervisor, given the nature of the project.
  1. Institutional Arrangement

The Business and Operation Management Associate will work under the supervision of the Projects Coordination Specialist at the Sustainable Green Pathways and Inclusive Growth Portfolio at UNDP Jordan Country Office. The associate will be based at the exhibition site and will closely collaborate with the relevant teams of UNDP JO and partners.

  1. Minimum Qualifications of the Successful NPSA

Minimum Education Requirements:

  • Completion of secondary education is required.
  • A university degree in Business, Finance, Administration, or an equivalent field will be given due consideration but is not a requirement.

Minimum Years of Relevant Work Experience:

  • A minimum of six years (with a high school degree) or three years (with a Bachelor’s degree) of relevant experience in administration, business development and management, financing, or related fields.

Required Skills:

  • Previous experience in administering business, profit, and cost centers.
  • Experience in budgeting and financial management.
  • Excellent computer and word processing skills.
  • Previous experience in customer care and services.
  • Previous experience in marketing services.

Desired Skills (in addition to the competencies covered in the Competencies section):

  • Proven experience in preparing Standard Operating Procedures (SOPs).
  • Practical experience in designing customer service surveys.
  • Experience in training of trainers (ToT).
  • Experience in bookkeeping and archiving systems.
  • Proven experience in communication and presentation skills.

Required Languages:

  • Proficient in both written and oral Arabic and English.
